Position Summary:  Oversee and accountable for the creation and management of efficient and effective operations.
 Duties & Responsibilities:
  • Accountable for data integrity by ensuring daily / weekly validation of internal processes in sales and marketing administration through review and / or approval.
  • Proactive Partnering at all levels to continuously analyze and assess development needs and proper implementation of approved processes and procedures.
  • Ensure company Policies & Procedures are enforced to minimize potential liabilities through daily communications of Best Practices and Compliance.
  • Identify, provide, and implement training for sales and marketing on system applications (Salepoint, CRS, CSS, SIMS, RCC / ERCC, FoCUS, and Business Reporting) and modules (accounting, commissions, contracts, tour reception, and gifting). 
  • Responsible for hiring, supervising and development of sales and marketing administration staff.
  • Review and/or approve all payrolls for sales and marketing teams. 
  • Review and/or process commission change requests.
  • Communicate, review, process, validate, and approve month end close process, to include accruals, site fees, premium credits, safe-housing and CTQ validation, for site sales and marketing departments ensuring timely submission to corporate accounting. 
  • Responsible for site facility maintenance and management ensuring proper ordering and control of supplies, refreshments, file management, transportation (as required) and basic vendor agreements (i.e. coffee, water, etc.).
  • Site Customer Service liaison.
  • Prepare, review, and recommend job requisitions (budgeted and non-budgeted) for all sales and marketing departments. 
  • Prepare, review and process capital expenditure requests through BU Operations. 
  • Review, process, and/or approve check requests, vendor billing, cash reconciliations. 
  • Works closely with the Regional Sales Administrator to ensure best practices.
  • Ensure compliance with Cash & Cash Equivalency.
